Role Summary

To provide high-quality coordination, administration and operational support across People activities, ensuring processes are delivered accurately, consistently and on time.

The role acts as the organisational backbone for People programmes and cyclical activity, maintaining compliance, tracking progress, resolving routine queries and ensuring colleagues and leaders receive an efficient and reliable service.

The People Coordinator enables Strategic People Partners and specialist teams to focus on strategic and complex activity by owning process execution, governance and administration.

Key Responsibilities

  • Coordinate People activities and programmes across the colleague lifecycle, ensuring actions are completed accurately and within agreed timescales. 
  • Manage and maintain trackers, workflows, records and governance requirements, ensuring information is accurate and up to date. 
  • Support the administration and delivery of annual People cycles including performance, talent, engagement, reward and development processes. 
  • Monitor completion of key People activities, escalating risks or delays where appropriate. 
  • Ensure compliance with People policies, employment legislation and internal governance requirements through accurate process administration. 
  • Act as a first point of contact for routine People queries, providing guidance on standard processes and directing complex issues to the appropriate teams. 
  • Maintain colleague records, documentation and data within People systems. 
  • Produce and distribute reports, data updates and progress tracking information to support People decision making. 
  • Coordinate meetings, documentation and communications relating to People activities and programmes. 
  • Identify opportunities to improve processes, administration and colleague experience and support implementation of agreed improvements. 
  • Support audits, compliance reviews and governance activities by maintaining accurate records and evidence. 
  • Troubleshoot day-to-day operational People issues and work with colleagues to achieve timely resolution.
  • Operates independently within established People policies, procedures and guidance. 
  • Takes accountability for the accuracy, quality and timely completion of People administration and coordination activities. 
  • Prioritises workload across multiple activities and deadlines while maintaining service standards. 
  • Escalates complex employee relations matters, policy interpretation issues or significant risks to Strategic People Partners or specialist teams. 
  • Uses judgement to resolve routine issues and identify appropriate solutions within established frameworks. 
  • Ensures confidential People information is handled appropriately and securely.
  • Plans and coordinates activity over short- and medium-term time scales.
  • Supports delivery of annual and cyclical People programmes. 
  • Manages multiple concurrent workstreams, balancing competing deadlines and priorities.
  • Influences the efficient delivery of People processes through accurate coordination and follow-through. 
  • Builds confidence in People services through responsiveness, professionalism and reliability. 
  • Supports consistency of People practice across teams by promoting process adherence and compliance. 
  • Contributes ideas and feedback to improve processes and colleague experience
  •  Builds effective working relationships across People teams, leaders and colleagues. 
  • Works closely with Strategic People Partners, People Delivery Managers and Centres of Excellence to coordinate activity. 
  • Provides responsive support and clear communication to stakeholders on process status, actions and deadlines. 
  • Uses appropriate challenge to maintain compliance with agreed processes and requirements.

Knowledge, Skills, Experience

  • Experience of coordinating administrative or operational activities in a People, HR or business support environment. 
  • · Experience working with multiple deadlines, priorities and stakeholders.
  • · Experience maintaining accurate records, trackers and process documentation. 
  • · Experience using HR systems and Microsoft Office applications. 
  • · Experience providing customer-focused support and resolving routine queries.
  • · Desirable: Experience supporting people processes such as performance, talent, engagement, learning or reward activities. 
  • · Desirable: Understanding of employment legislation and people policy application. 
  • · Experience producing reports and analysing people data. 
  • · Desirable: Experience working within a regulated, unionised or compliance-focused environment.
